Requests were coming into various points of contact from various different sources, such as emails, tickets, and in-person conversations, leading to disorganization and duplicative work.\u00a0<\/span> <span data-contrast=\"auto\">To resolve this issue, we worked with affected stakeholders to identify pain points, devised a simple process to help streamline and organize requests, and created a tool in Smartsheet for tracking and reporting. As a result, we empowered the business with the understanding of how to ensure their requests were received and prioritized effectively, strengthening their relationship with IT and ultimately positioning IT as a strategic partner.<\/span><\/p><h3><span style=\"color: #ffaf00;\">What<\/span> We Did<\/h3><h4>1. Met with Key Stakeholders to Diagnose Pain Points<\/h4><p><span class=\"NormalTextRun SCXW196740766 BCX8\">First, we <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">identified<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\"> the <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">individuals most heavily involved in the current state request management process, and we met with them to better understand how requests were being managed, what the pain points were, and <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">how <\/span><span class=\"NormalTextRun AdvancedProofingIssueV2Themed SCXW196740766 BCX8\">each individual<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\"> interacted with the process<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\"> as it stood. <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">These conversations yielded valuable insight <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">in<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">to <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">the lack of structure<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\"> and <\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">inconsistent handling of requests in the current state<\/span><span class=\"NormalTextRun SCXW196740766 BCX8\">.<\/span><\/p><h4>2. Established the Process, Tool, and Team<\/h4><p><span class=\"NormalTextRun SCXW229189333 BCX8\">Based on the above insights, we <\/span><span class=\"NormalTextRun SCXW229189333 BCX8\">established<\/span><span class=\"NormalTextRun SCXW229189333 BCX8\"> a centralized process for the intake, prioritization, management, and completion of IT requests. <\/span><span class=\"NormalTextRun SCXW229189333 BCX8\">We <\/span><span class=\"NormalTextRun SCXW229189333 BCX8\">defined explicit roles and responsibilities<\/span><span class=\"NormalTextRun SCXW229189333 BCX8\">, socialized them with the affected individuals, and we devised<\/span><span class=\"NormalTextRun SCXW229189333 BCX8\"> a Smartsheet<\/span><span class=\"NormalTextRun SCXW229189333 BCX8\"> tool<\/span><span class=\"NormalTextRun SCXW229189333 BCX8\"> to intake, track, and report requests through the entire lifecycle.<\/span><\/p><h4>3. Operationalized the Process<\/h4><p><span class=\"NormalTextRun SCXW94765203 BCX8\">To alleviate the burden on client staff, who were stretched thin, we dedicated a PrO team member to drive<\/span> <span class=\"NormalTextRun SCXW94765203 BCX8\">the process, helping all parties adapt to the change and ensuring the process was running as intended.<\/span><\/p><h4>4. Continuously Improved the Process<\/h4><p><span class=\"NormalTextRun SCXW197021218 BCX8\">As the process and tool became more widely adopted across the client organization, we <\/span><span class=\"NormalTextRun SCXW197021218 BCX8\">established<\/span><span class=\"NormalTextRun SCXW197021218 BCX8\"> a cross-functional steering committee responsible for reviewing all requests to drive alignment on the relative priority of each<\/span><span class=\"NormalTextRun SCXW197021218 BCX8\">. <\/span><span class=\"NormalTextRun SCXW197021218 BCX8\">This helped to ensure all parties were communicated as needed to continue to drive the process effectively.<\/span><\/p><h3 style=\"text-align: center;\">Client Results<\/h3><div class=\"vc_row wpb_row vc_inner vc_row-fluid\"><div
